- Attendance Specialist
Description
Position Overview:
The Attendance Specialist is responsible for providing child attendance reporting for multiple sites including private and subsidized programs. The position requires communication and coordination with Enrollment Specialists, Center Leaders, and others to ensure compliance of attendance data to state contracts and company policy.
Key Responsibilities:
Attendance Support
Reviews children's attendance timesheets and transfers attendance data into database
Audits for missing timesheets, missing schedules, missing info (incorrect hours, days, etc.)
Works with center staff including Center Leaders and Teaching staff and/or Enrollment Specialists to correct attendance timesheets
Reporting
Creates and distributes Best Interest Days/Unexcused Absence Report
Audits Category Report to ensure all children are reported correctly in the database
Ensures the children are reported in the correct contract through audit of the Contract Enrollment Report
Provides Recertification Report for Enrollment Specialists and Center Leaders
Corrects scheduled and attendance for the months prior to ensure reporting is accurate
Data Compliance Support
Audits monthly Third Party (CAPP) timesheets to ensure complete documentation and accuracy of attendance
Provides support in formal internal and external audits, as directed by Supervisor
Accountabilities
Understands Funding Terms and Conditions along with Title 5 regulations regarding attendance
Full compliance with all governing regulations in the attendance reporting including private and CAPP enrollment
Accuracy in data entry into the system
Excellent customer service provided to all partners at the center level and at the regional level/corporate office
Collaborates with Enrollment Specialists and Center Leaders to identify opportunities and needs as it relates to attendance and contract compliance
Requirements
Required Qualifications:
High School Diploma or GED
3-4 years' experience in Human Resources or Administrative Assistance
Preferred Qualifications:
AA/AS degree preferred
Experience with MS Office, including excel, word, or related databases
Key Competencies:
Child Development and childcare funding eligibility knowledge and experience preferred
Experience with MS Office, including excel, word, or related databases
Competent in PC and keyboarding skills
Effective time management, planning & organization skills, and follow up skills
Team oriented and ability to multi-task
Flexibility and ability to prioritize a shifting workload
Flexible hours based on the needs of the programs
Ability to work in a deadline driven environment
Ability to maintain confidentiality of family, child, and financial information
Carry out scheduled activities independently after training and be a self-starter
