Summary
The Director of Rentals provides strategic leadership and operational oversight for all public and private event rentals at Scissortail Park and Myriad Botanical Gardens in downtown Oklahoma City. Working closely with the Chief Program Officer, this role is responsible for maximizing rental revenue, optimizing venue utilization, strengthening community partnerships, and positioning both properties as premier destinations for weddings, corporate events, nonprofit gatherings, festivals, and other third-party uses.
The Director of Rentals oversees the Rentals team including a Rentals Manager and Rentals Coordinators who manage the day-to-day sales, planning, and execution of individual rentals at each property. This role establishes systems, pricing strategies, service standards, and accountability to ensure a seamless client experience and consistent, high-quality event delivery across both venues.
Essential Duties and Responsibilities
- Develops and implements a comprehensive rental strategy for both Scissortail Park and Myriad Botanical Gardens that aligns with organizational goals and revenue targets. Rentals can include weddings, birthday parties, private events open to the public and non-public, proposals, festivals, and more.
- Creates and manages a sophisticated revenue management program, optimizing pricing, availability, and space utilization to maximize earned income.
- Analyzes market trends, competitive venues, and client demand to inform pricing models, packages, and sales strategies.
- Identifies growth opportunities for new rental offerings, seasonal packages, and underutilized spaces.
- Directly supervises Rentals Manager and Rentals Coordinators.
- Oversees our food truck operations from scheduling and collecting payments to day- of coordination.
- Establishes clear performance expectations, workflows, and service standards across both properties.
- Provides coaching, training, and professional development to ensure consistent, client-focused execution.
- Fosters a positive, collaborative work environment where staff feel supported, valued, and accountable.
- Oversees all rental sales activities including prospecting, lead management, client tours, proposals, and contract negotiations.
- Serves as a senior-level point of contact for high-profile clients, complex rentals, and strategic partners.
- Contracts and works with vendors such as caterers, fencing companies, porta potties vendors, and production companies.
- Builds and maintains long-term relationships with corporate clients, nonprofit organizations, planners, and community partners.
- Identifies opportunities to generate repeat business and future bookings during client interactions and on-site events.
- Oversees planning and execution of all third-party rentals, ensuring alignment with property policies, safety standards, and brand expectations.
- Ensures coordination of all rental logistics, including site selection, layouts, and seating plans, load-in/load-out schedules and event timelines, vendor coordination (tents, restrooms, AV, catering, rentals, etc.), security, safety, and risk management planning and compliance with permits, licenses, and municipal requirements.
- Conducts or delegates final pre-event inspections to confirm all elements meet client and organizational standards.
- Oversees rental budgets, pricing structures, and financial reporting across both properties.
- Ensures timely issuance of contracts, invoices, and collection of deposits and final payments.
- Reviews and approves financial reports related to rental revenue, forecasts, and performance metrics.
- Maintains oversight of rental inventory including décor, furniture, equipment, and technology assets.
- Oversees the master rental calendar for both properties, ensuring optimal use of space and alignment with internal programming and public events.
- Works closely with the Director of Events and Events team to ensure a cohesive and balanced overall event calendar.
- Collaborates with Finance, Marketing, Operations, Security, and Administrative teams to support successful rentals.
- Provides senior-level oversight for rentals on event days as needed, supporting staff with problem-solving, client relations, and operational decision-making.
- Anticipates challenges and develops contingency plans for weather, logistics, or client needs.
- Ensures consistent service quality, professionalism, and guest experience across all rentals.
- Reviews post-event evaluations and client feedback to assess success and identify opportunities for improvement.
- Refines policies, procedures, and service offerings based on data, trends, and operational insights.
- Develops and documents best practices for rental operations across both properties
- Issuing invoices and collecting payments in a timely manner and creating comprehensive and readable financial reports.
- Creating sales opportunities for future events during client liaisons and during events.
- Strong communication skills, and the ability to present event ideas and plans to client and vendors.
- Supports all other company programs as needed.

Education and/or Experience
- Minimum 6 years of relevant experience, preferably in a leadership role.
- Bachelor’s degree required, Master’s degree preferred.
- Bachelor’s degree in Hospitality Management, Entertainment Business, or Public Relations is preferred.
Computer Equipment and Software Requirements
- Excellent word processing skills; must have expert-level skills with MS Office, especially Excel.
- Experience in use of standard office equipment.
Certificates, Licenses, Registrations
- Valid Oklahoma Driver’s License.

Work Environment
Must be able to work both indoors and outdoors. Must be able to work weekends and nights. Some locations visited during the course of executing job duties may not be wheelchair accessible; some time will be spent outside.
Physical Requirements

- Must be able to bend, stoop and lift on occasions.
- Must be able to climb stairs.
- Must be able to walk from office building to Park and Garden facilities.
